Travel Industry Golf Society - (TIGS) Constitution

1.            The Society

a)                    The Society shall be called the Travel Industry Golf Society (TIGS).

b)                    The object of the society shall be the playing and promoting of the game of golf, and the enhancement of relationships within the Travel Industry.
 
2.            Management of the Society

a)                    A President, and a Committee consisting of Captain, Vice-Captain, Hon. Secretary, Hon. Treasurer and one (1) other member shall manage the affairs of the society. 

b)                    At General Meetings, the President shall take the chair. In their absence, by the Captain, or the Vice-Captain.  In the absence of the three above, some member of the committee shall be moved to the chair. The Chairman shall have a casting vote in addition to their ordinary vote.

c)                    All officers and members of the Committee shall retire annually but shall be eligible for re-election, with the exception of the President, who will be elected for a two-year term of office.

d)                    In the event of more than one candidate being proposed for any position on the committee, the successful candidate will be determined by the result of a ballot of the ordinary members (at an AGM or by postal vote).  The chairman will appoint two scrutineers to ensure the fairness of the ballot.

e)                    Meetings of the Committee shall be held at least three times a year, at which three (3) will form a quorum.

f)                    At a meeting of the Committee the chair shall be taken by the Captain, or Vice Captain, in the absence of both, the Committee shall appoint some member and their will have a casting vote, in addition to their ordinary vote.

g)                    The A.G.M. should be held before 31st December each year, ten days notice of same to be given to all members.

h)                    Motions, at General Meetings will be carried by a simple majority of those present. No proxies shall be allowed, and if a majority present wish any question under discussion to be put to a vote by ballot, that mode of voting shall be adopted.

i)                     The rules of the Society may be added to or altered at any General Meeting provided that written notice is given to the Hon. Secretary seven (7) days before the date of such meeting. The Hon. Secretary shall give notice thereof to members by e-mail or letter not less than three (3) days before such meeting.

j)                     An Extraordinary General Meeting may only be summoned by the Hon. Secretary at the request of the Committee, or upon the written requisition of any eight members of the society.  Ten days notice to be given to all members.

k)                    The Committee at its discretion may co-opt a member to fill any vacancy that may occur on said committee.

l)                     The Committee shall have power to appoint sub-committees from its body or from members, and to define the scope and the duration of their activities. Such sub-committees shall be accountable to the Committee and may not disburse the funds of the Society.

m)                  The Committee shall ensure that adequate financial and secretarial records are maintained of the activities of the Society and report these annually to the members at an AGM.

n)                    The Committee shall have the power to suspend membership of any member of the Society, provided four members of the Committee are present.

o)                    The Committee may propose the granting of Honorary Life membership to a person it deems worthy. Such proposal to be voted upon by the membership at a General Meeting of the members and approved or rejected by a simple majority of those present.

3.            Membership of the society

a)                    Members shall be confined to those persons who are employed or have been previously employed in the Travel or Tourism industry.   In exceptional circumstances, the committee may invite other relevant parties to become members.

b)                    The Election of all members shall be at the discretion of the Committee.

c)                    Application for membership shall be made to the Hon. Secretary, on the appropriate form, accompanied by the annual subscription.   A new applicant must be proposed by and seconded by a member of the society.

d)                    Any members resigning or ceasing to be a member of the society shall forfeit all claims against the property or funds of the Society.

4.            Annual Subscription

a)                    Shall be fixed, for the coming year, by the committee ahead of the Annual General Meeting.

b)                    Any member of the Committee who has not paid their annual subscription by the first Committee meeting, at which they are present, each year, shall cease to hold office from that date.

c)                    All subscriptions must be paid to the Treasurer by 28th February of each year, otherwise membership will cease and that member must then re-apply for membership. 

d)                    Renewal/application forms with payment and handicap details should be sent to the Treasurer who will then update the membership list online as forms are received. 

5.            Handicaps

a)                    In the absence of an official GUI / ILGU Handicap a Society handicap will be given to members.

b)                    The maximum Society handicap is Men 28 and Woman 36.

c)                    The Committee shall have the power to impose points deductions for the purpose of the Society’s outings, during the course of the season.

d)                    Any such amendments are applicable from the next outing.

e)                    The nature of these amendments, for the coming season, will be decided by the committee and announced at the AGM.

f)                    At the end of each year the player will revert back to their current GUI/ILGU.

g)                    Deductions will not apply in the calculation of the overall winner of the Captains Prize.

h)                    It’s the responsibility of each member to inform the Hon. Secretary of their current GUI/ILGU handicap.

i)                     Competitions adjustments will be managed by the Hon. Secretary.

6.            Complaints

a)                    All complaints are to be made to the Captain

b)                    If the Captain is unable to remove the cause, he/she will require the complaint to be put in writing and submitted to the Committee for decision.   

c)                    Any such decision is final and binding.

7.            Captains Prize and Presidents Prize

a)                    Any new member may not win the Captains Prize or Presidents Prize without having played in at least two outings since joining the Society.

b)                    Any member, in at least their second season, may not win the Captains Prize or Presidents Prize without having played in at least two outings since the previous Captains Prize or Presidents prize.
 

Appendix 1

Competition Rules

1.            Outings

a)                    The Rules of Golf apply in their entirety

b)                    The committee will decide the format of the event.

c)                    Payment for each outing to be sent to Hon Treasurer, prior to the outing.

d)                    Non attendance may result in the Green Fee still being due.

e)                    Any disputes must be made, in writing, to the committee as soon as possible after the outing.

2.            Match Play

a)                    Entry by application to Hon Secretary.

b)                    Hon Secretary will manage the draw.

c)                    Last years winners shall have home advantage.

d)                    All competitors must play off their current Society Handicap.

e)                    First drawn home advantage and is responsible to arrange the match by due date.

f)                    Players may be ordered to concede a match whether they have home advantage or not if the Committee deems that they have made no reasonable effort to play it. Committee to have final decision in this matter.

g)                    The society will pay the green fee for the finals plus dinner.

h)                    For all disputes in relation to Match play, the committee will have full and final say after both parties have had an opportunity to present their cases.

3.            Golfer of the Year

a)            There shall be one winner of the Society’s Golfer of the Year.

b)            The winner shall be the player who has achieved the best accumulation of points from all available singles outings

c)            Points will be awarded for the top 6 in every outing (Ladies and Gents), as well as for those making the last 8 of their respective Match Play competitions.  

d)            In the event of a tie, the lowest score will be discarded, until a winner is decided.

e)            Point’s allocation to be decided by the Committee prior to start of the season.
 

Appendix 2

Officers of the Society

President

a)            Should chair General Meetings and in his/her absence the meeting should be chaired by the Captain of the Society.

b)            Should be there to oversee the easy transfer of one committee to the next.

c)            Should be there to resolve any disputes within the committee should they arise.

Captain

a)            The Captain represent the Society at outings.

b)            Should chair all committee meetings.

c)            Ensures Secretary, Treasurer and committee members perform their functions on behalf of the Society.

Vice Captain

a)            A Vice Captain shall be elected at the first Committee meeting.

Hon. Secretary:

a)            Responsibility to keep all the records of the members and of the Society & Committee meetings.

b)            In conjunction with Treasurer arrange appropriate outings venues as directed by the Committee.

c)            Sending out of all notices

d)            Organise committee meetings

e)            Recording of Handicaps

Treasurer:

a)            Is responsible for the all the financial transactions within the society

b)            To keep a full record of all transactions

c)            To ensure that all subscriptions are paid accordingly

d)            To ensure that all monies due by the Society are paid.

e)            Report on the finances of the Society at the AGM. 

Trustees:

a)            Two Trustees shall be appointed whose function is to oversee the Society’s financial affairs in conjunction with the Treasurer. The Trustees shall be appointed annually.
